“Hi!! I am using Outlook 2010 from past few years without having any problem, but today I am getting a strange error message like “Outlook.ost is in use and could not be accessed. To come out of this problem, I restarted Outlook it seems to be resolved, but displays the same error message after some time periodically. If anyone have any idea about this error, then please advise me how to fix it. Thanks in advance….”.

OST (Offline Storage Table) file stores mailbox’s contents when you are working in offline mode. It is saved on your local machine and it holds your mailbox’s contents in the same format as they are on Exchange Server. Later, as soon as you connect MS Outlook with the server, all messages stored in offline Outlook client are merged with online mailbox. It is helpful when there are network connectivity problem or server downtimes.

However, user may feel difficult to use Outlook when it shows error message as above mentioned. The main reason behind this error is OST file corruption. Apart from this, Outlook may even show some other errors like:

“Cannot display the folder. Outlook .ost is in use and cannot be accessed”
“Outlook .ost file in use and cannot be accessed. Close any application that is using this file”
“Default Outlook profile .ost is in use and cannot be accessed”

Reasons for these errors in Outlook are:

  • Slow and unreliable internet connection
  • Multiple users attempting to access same .ost file at a time then
  • Synchronization errors between Exchange Server and Outlook 2010 OST
